Important Notice - Beware of unauthorized hotel solicitations
NCBA’s official housing vendor is Experient. Attendees and exhibitors should be cautious of other companies that:
Call you directly and claim they are official housing partners and have the best rates for San Antonio. NCBA and Experient will never call you directly.
Claim to be affiliated with NCBA by offering discounted hotel rates, which often can be too good to be true.
Ask you to provide your contact information and credit card details, and require full pre-payment in advance.
Claim to have availability at their advertised hotels, but may take the money for the rooms, then later cancel without refund to you.
When booking your hotel for the meeting, please be sure that you are booking through a credible source and email showmgmt@NCBATradeShow.org if you are approached by a company making the above claims.

In light of the recent housing scams and concerns, we have added an extra security measure requiring you to enter a password, which is your assigned Company ID. If you would like to place a Wait Comment on your record for a hotel not presently available, you may email email@example.com after you have confirmed a hotel reservation at an alternate host hotel. Should a room become available, we will automatically make the reservation change and send a new confirmation.
Name badges will be available for pick-up in the main lobby of the Henry B Gonzalez Convention Center. To avoid confusion and inconvenience, everyone must pick up their own name badge. No exceptions. Access to the exhibit hall will be restricted to those registered as exhibitor personnel during move-in and move-out hours. Exhibitors utilizing the services of an Exhibitor Appointed Contractor (EAC) company, refer to temporary work badges below.
Bulk Registrations: No lists will be accepted on-site for registration. If you are going to be registering a large number of staff, you can upload a list on the Exhibitor Registration & Housing website. On-site registration must be done on an individual basis.
Temporary Work Badges: No one will be allowed access to the Trade Show floor without either an Exhibitor Badge or a Temporary Work Badge. Temporary exhibit workers (installation and dismantling personnel) can obtain a Temporary Work Badge during move-in and move-out times at Registration in the main lobby of the Henry B Gonzalez Convention Center. **See Exhibitor Appointed Contractor Work Authorization Request Form in Exhibitor Kit**
National Cattlemen's Beef Association now offers an optional insurance policy through Rainprotection Insurance that Will Refund You 100% of Your Registration Fees if you are unable to attend. You will be covered from the moment you register until the start of the event. You will receive a 100% refund, no matter when you cancel, if you are unable to attend the event for a reason covered under the policy. The insurance must be purchased within 10 days of the date that you registered. No insurance can be purchased once that 10 days has lapsed. There are no fees or penalties. The cost of this insurance is just $90.
If you decide not to use the registration insurance, there are absolutely no refunds if you are unable to attend the event.
Registration refunds for exhibitors are only available on paid registrations that have purchased the insurance.
